Onboarding Wizard

After verifying your email, XBuddy guides you through a 6-step onboarding wizard. Required steps must be completed; optional steps can be skipped.

The wizard tracks your progress. You can close it and come back later — your completed steps are saved.

Steps

Company Profile (required)

Set up your company’s basic information:

  • Company name and logo
  • Timezone — used for scheduling, attendance, and reports
  • Currency — default currency for invoices and finance
  • Address — appears on invoices and documents

Go to: Settings → Company


Invite Your Team (optional)

Invite colleagues to your workspace. You can skip this and invite later.

  1. Go to Settings → Users
  2. Click Invite User
  3. Enter their email and assign a role:
    • Admin — full access, can manage billing and users
    • Manager — full access to assigned modules, can approve
    • Member — standard access, can create and edit records
    • Viewer — read-only access

Invited users receive an email with a link to set their password.


Select Modules (required)

Choose which modules your team needs. This is also where you select your plan.

Go to: Settings → Billing → Subscription

Available module categories:

  • Business — CRM, Sales
  • Finance — Invoicing, Accounting, Expenses
  • Operations — Inventory, Manufacturing, Field Service, Quality
  • People — HR, Payroll, Performance
  • Platform — Knowledge Base, Analytics, Workflows

You can add or remove modules at any time from your subscription settings.


Connect an Integration (optional)

Connect your existing tools to XBuddy:

  • Google Calendar — sync events and meeting notes
  • Google Drive — attach documents from Drive
  • Stripe — process payments directly
  • Email — sync your inbox for CRM activities

Go to: Settings → Integrations


Create Your First Record (optional)

Create the first piece of data in your workspace. This marks your go-live milestone and unlocks a congratulations notification.

Suggested starting points:

  • CRM → Create a Contact
  • Finance → Create an Invoice
  • HR → Add an Employee

Product Tour (optional)

Take a guided tour of the XBuddy interface. This step walks through the main navigation and key areas of the platform.

After onboarding

Once all required steps are complete, you’ll see a 100% completion message and be redirected to your main dashboard.

The onboarding progress bar also appears in Settings → Company so you can track progress for your team.

Resetting onboarding

To re-run onboarding (e.g. for a new team member who needs a walkthrough), go to Settings → Company → Onboarding and reset individual steps.
